Sr. Project Manager

Job Title: Sr. Project Manager

Responsible for the overall direction, coordination, implementation, execution, control and completion of specific Ruiz Foods solution deployments and ensures consistency with written business requirements and project goals in conformance with the IT PMO Playbook.  This position is considered a key member of the IT PMO team.   The position comprises performance requirements as the face of IT Project Planning, Execution, Management (Controlling) and Closure for Ruiz Foods business (customers) solutions.

GENERAL RESPONSIBILITIES INCLUDE:

1. BA to IT turn over

  • Understands all facets of the project and asks relevant questions, gets clarification, etc. during the Initiation (BA) to Planning/Execution handoff process
  • Reads and understands the business requirements (SOW); makes sure the required details are very clear
  • Creates and/or reads and understands the RFP, Contract and any other written documentation of the project
  • Refers to the project documents at all times during the project
    • The BA should provide all appropriate documentation during the handoff to PM turnover
    • The project manager should identify anything that they are missing that is needed for the project
  • Confirms funding milestones during the handoff process
  • Presents the project detail and proposed project plan to the PMO Manager once everything has been gathered and understood

2. Kick Off Meeting

  • Build project kick off documentation
  • Coordinate kick off dates with project sponsor
  • Leads kick off meeting with client
  • Coordinates next steps with client

3. Project responsibilities

    • Is in charge of all elements of the project
    • Use Planview PPM Pro as the Program/Project Management Tool of record
      • Setup and Management of WBS/Project Plan and associated key Milestones
      • Risks, Issues, Decisions
      • Change Requests
      • Status Reporting
      • Resource Planning
      • Financial Management
  • Point of Contact with the business and associated Project Sponsor (customer)
    • Kickoff Meeting
    • Project Status Meetings (Project Health, Budget, Milestone Review (Gantt), Risks, Issues, Decisions & Change Requests)
    • Keeps the pace of the project
    • Ensures Ruiz Foods business project team members meet task due dates
    • Goes on site (other plants) for project meetings as needed
    • Ensures the customer has appropriate sign off (and in a timely manner)
  • Business Analysis
    • Works with business and Project Sponsor to identify SMEs in preparation for BA
    • Goes on site with BA and is engaged in all analysis and requirements gathering sessions with customer as a backup to the BA and as the representative of the project
    • Keeps the pace of BA documentation deliverables making sure that both Project Sponsor and Ruiz Foods BA understand expectations and meets due dates
    • Reviews documentation deliverables with BA to confirm all requirement areas are covered and understood
    • Understand and track items from the BA sessions that will require follow-up or work from other project Team Members
      • Work with BA to confirm these items
      • Engage with Business, Technical representative, BA to discuss requirements and solution direction
      • Track any change requests from these discussions
      • Ensure appropriate follow-up with Project Sponsor
    • Work with BA to ensure appropriate sign off of for documentation deliverables completion from the Project Sponsor in a timely manner
  • Configuration, Acceptance Testing, Training
    • Works with customer to identify SMEs in preparation for each project milestone
    • Prepares and coordinates dates for working with the customer for training
    • Identifies internally who is responsible for the actual work
    • Goes on site (other plants) as needed
    • Ensures appropriate follow-up and action items with the customer
    • Reviews documentation and confirms understanding with the business and Project Sponsor on the set goals of each milestone
    • Get appropriate sign off for completion of each milestone
  • Deployment
    • Works with Release Coordinator to Build project go live plan
    • Gathers the appropriate project Team (IT & Business) contact information
    • Manages all associated deployment timeframes
    • Ensures that the ITIL Methodology is being adhered to during Change Control process
    • Ensure proper testing documentation is provided to the customer
    • Coordinate testing with the business and Project Sponsor
    • Keep the pace of the action items: IRD, internal discussion/planning, development, deployment and testing with the customer
    • Ensure customer has product documentation needed
    • Get appropriate sign off of completion from the customer in a timely manner
    • Provide transition plan to customer for post go live support

Knowledge, Skills and Abilities:

  • No less than 8 years of experience managing software projects, preferably large-scale systems
  • Must have documented success in Change Request Management and Training (this will be very important)
  • Manufacturing experience a plus
  • Planning with Vendors
  • Microsoft Project, Excel, Visio and PowerPoint expertise
  • Experience with Waterfall, Hybrid and Agile/Scrum methodology
  • Professional demeanor and ability to work with a diverse team and distributed IT organization
  • Experience in ERP implementations a plus
  • An experienced Project Manager who has significant experience within an Information Technology PMO/PPM managing multiple/concurrent initiatives
  • Ideal candidate will have experience working on strategy around building and leveraging technical business solutions

Minimum Qualifications:

  • Bachelor’s Degree in Business.
  • Facilitate large and small group working session with all levels of organization
  • Ability to work with and influence senior management teams and align with goals
  • Strong analytics and problem-solving capabilities
  • PMI Certification desired (PMP, PgMP)
  • Consumer Products Manufacturing experience a plus

TRAVEL REQUIREMENTS: Expected 20% travel.
